A purchase order lists the products, prices, and quantities for an order that a business places with a supplier.

Purchase Orders also help track details such as incoming inventory counts, inventory costs, payment terms, and estimated times of arrival. Tracking this information helps you set customer expectations for item availability, and informs decisions about restocking and moving inventory between locations.

<aside> ⚠️ Before start creating purchase orders, create your first supplier.

  1. From the Shopify Navigation pane, choose ‘Purchase Orders’ and click ‘Create PO’.
  2. Choose a Supplier from the drop-down. The purchase order will be issued/sent to the selected supplier.
  3. Choose the Billing Address & Shipping Address from their respective drop-downs.

<aside> 📢 You can choose the address from the list of Shopify Locations & addresses configured on the Settings → General Settings page of the application.

  1. Choose the PO Date, Expected Date, Shipping Method, PO Notes, Shipping Terms, and Payment Terms

<aside> 💡 When you select a Supplier, the application will pre-populate the Expected Date, Shipping Method, PO Notes, Shipping Terms, and Payment Terms from the Supplier whenever possible.

  1. Click ‘Add Products’ to select the line items for the purchase order.
  2. In the Product Resource Picker, you can search for the available products in your store.
  3. The selected variants will be now added as Line Items for the purchase order. You can view the available quantity, incoming quantity and the unit cost for each line item along with the variant options & SKU.
  4. Update the Quantity as required.

<aside> 📢 To define the Minimum Order Quantity, edit the products in the application before creating the purchase order.

  1. Check ‘Include Tax’ to include taxes in the purchase order. You can provide a Tax Rate for each line item.

  1. Check ‘Include Shipping’ to include a fixed shipping charge in the purchase order.
